*Job Description* The Executive Assistant to the CFO reports directly to the CFO and is responsible for providing administrative support and coordination of projects.
The position will support but also be a strategic partner with the CFO through a variety of tasks related to the organization, communication, and efficiency.
All tasks will be completed accurately and delivered with high quality and in a timely manner.
Clerical duties as necessary Photocopying Scanning for CFO completed within one week of documents received Bank documents, corporate documents, notices etc.
Tax document sort through and scan for tax return filings Sending, receiving, sorting, and distributing CFO mail Notices emailed to proper employees for communication Distribution of proper documents to respective employee or department - physical or by email Tracking of projects and priorities Filing Internet research Grants, tax issues Phone calls for said research as requested Cost analysis pulled together throughout year of multiple expense items For use in budget analysis Loan spreadsheet updates Debt schedule assistance Answering of CFO phone calls Response to phone calls received by CFO Prioritization of phone calls received for actionable items Bank deposits weekly on Fridays or as requested by CFO Financial statements updated and assembled for meeting In excel comparatives Office and offsite event management as requested by CFO Attend meetings to take notes and send follow up Huddles, tactical etc.
Agenda assembly for meetings Relevant documents pulled together for meeting Assembly of presentations for meetings Calendar management and reminders for the CFO Setup of meetings, response to meeting requests and coordinates appointments Assembly of documents for meetings for CFO - printed Financial comparisons for monthly meetings Budget updates for comparisons Cash flow and balance document updates Assistance in audit deliverables Assembly of documents for testing Completion of multiple excel spreadsheets needed throughout the audit Writing and updating of processes and procedures Special projects as requested or directed by the CFO Run daily errands as needed - mail/fedex/banks/payroll Greeting and direction of visitors as needed as backup Job Type: Full-time Pay: $38,000.
